Managing customers

Find any customer, assign or change their wholesale badge, and turn wholesale access off from the Customers screen.

The Customers screen is where you control wholesale access for individual people. You can give a customer a badge without an application, move them to a different badge, or remove their wholesale access.

The Customers list

Go to ViteWholesale → Customers. The list includes every user account on your site, sorted by name, with these columns:

Column What it shows
Customer The customer's display name
Email Their account email
Current Badge Their badge, or No Badge
Wholesale Status Yes if they hold a badge, No if they don't
Total Spent The customer's spend, when it's available

Use the search box to find customers by name or email, and click Reload to refresh the list.

Assign a badge

Use this to make someone a wholesale customer without waiting for an application, for example a long-standing trade client such as Jane Smith (jane@example.com).

  1. Click Assign Badge on the customer's row.
  2. In the Badge field, choose a badge. The list shows only active badges, each with its threshold or Admin assign only.
  3. Tick I confirm that I want to assign the [badge] badge to this customer.
  4. Click Save.

The customer gets wholesale pricing right away. A manual assignment counts as approval:

  • If the customer has an application on file, their latest application is marked Approved with this badge.
  • If they never applied, an approved application is created for them, so the Applications screen stays consistent.

If the chosen badge's upgrade threshold is higher than what the customer has spent, the dialog shows a warning. It's only a reminder, and you can still save.

Change a customer's badge

  1. Click Assign Badge on the customer's row. The dialog shows their Current Badge.
  2. Choose a different badge, tick the confirmation box, and click Save.

Picking the badge they already have doesn't count as a change, and the confirmation box doesn't appear.

Turn off wholesale access

Customers who already hold a badge have a Wholesale Status toggle at the top of the dialog.

  1. Click Assign Badge on the customer's row.
  2. Switch Wholesale Status off. A notice explains that saving will remove the badge and the customer's wholesale access.
  3. Click Save.

When you do this:

  • The customer's badge is removed, and they return to normal retail prices.
  • Their latest approved application changes to Revoked, with the reason "Wholesale access disabled by admin."
  • Their My Account → Wholesale tab shows "Your wholesale access has been revoked", with an Apply Again button.

To restore access later, assign them a badge again or approve their new application.

Note: Rejecting a customer's application on the Applications screen also removes their badge. Use the Wholesale Status toggle when you want to take away access from someone who was approved, so their history reads Revoked rather than Rejected.

When a badge is deactivated

If a customer's current badge has been set to Inactive, the dialog shows it with an "(Inactive)" label, and the customer gets no wholesale prices from it. Pick an active badge to keep them on wholesale pricing, or turn their Wholesale Status off.

Badge upgrades

Pro: Badge upgrades track each wholesale customer's lifetime spend. When a customer passes a higher badge's Upgrade Threshold, the Customers screen flags them next to their current badge, and you can upgrade them with one click. You choose which order statuses count toward the total. An optional auto-upgrade setting, off by default, can also upgrade eligible customers automatically every day.
