Wholesale applications

How customers apply for wholesale access from My Account, and how you review, approve, reject and delete applications.

Wholesale applications let customers request wholesale access from their WooCommerce account. You review each request and decide who becomes a wholesale customer.

How customers apply

Customers need a store account and must be logged in to apply.

  1. On the My Account dashboard, customers who aren't wholesale yet see a What is Wholesale? card with an Apply for Wholesale button.
  2. The button opens My Account → Wholesale, where the Wholesale Application form appears.
  3. The customer fills in the form and clicks Submit Application.

By default, the form asks for First Name and Last Name, both required. It also shows the customer's Email and Username as read-only fields, because they come from the account and can't be changed there.

After submitting, the Wholesale tab shows Application Status: Pending with a note that the application is under review. A customer can't submit another application while one is pending or after they've been approved.

Pro: Add your own fields to the application form, such as company name, tax ID or a dropdown, and choose which are required. See Custom application fields.

Review applications

Go to ViteWholesale → Applications. The list shows each application's customer, email, status, Submitted At and Reviewed At. Search by name or email, and click Reload to refresh the list.

Each application has one of four statuses:

Status Meaning
Pending Waiting for your decision
Approved The customer has wholesale access
Rejected You turned the application down
Revoked The customer was approved, but you later turned their wholesale access off

Click View Details on any row to see the submitted fields and review dates. For rejected or revoked applications, the details also show the reason.

If a customer has been rejected or revoked before and applies again, their row shows a Reapplied tag with the number of earlier refusals.

Approve an application

  1. Find the pending application and click Approve.
  2. Confirm Approve this application?

When you approve:

  • The customer receives your default badge, and wholesale pricing starts right away.
  • The first and last name they submitted are copied to their WordPress user profile.

Note: If no default badge is set when you approve, the customer is approved without a badge and gets no wholesale prices. Set a default badge under ViteWholesale → Badges first, or assign a badge afterwards from ViteWholesale → Customers. See Customer badges.

To give a customer a different badge than the default, approve them first, then change their badge on the Customers screen.

Reject an application

  1. Find the pending application and click Reject.
  2. Enter a Rejection Reason. The reason is required.
  3. Click Reject.

Rejecting also removes any badge the customer currently holds, so they lose wholesale pricing.

The customer sees the rejection reason on their Wholesale tab together with an Apply Again button. Re-applying creates a new application, and the old one stays in the list as history.

Delete an application

You can delete only Rejected or Revoked applications. Click Delete on the row and confirm. Pending and Approved applications can't be deleted, because they reflect a customer's current wholesale status.

What customers see

At My Account → Wholesale, the page changes with the customer's status:

  • No application yet: the application form
  • Pending: the pending notice
  • Approved: "You are an approved wholesale customer" and their badge name
  • Rejected: the rejection reason and Apply Again
  • Revoked: "Your wholesale access has been revoked", the reason, and Apply Again

The My Account dashboard also shows a Wholesale status: label with the current status and badge.

Note: If your theme overrides the WooCommerce My Account dashboard template, the Wholesale status line may not appear there. The Wholesale tab still works.
