Quote negotiation

Let wholesale customers turn their cart into a quote request, negotiate prices and shipping with you, and pay for the agreed offer as a WooCommerce order.

Quote negotiation lets a wholesale customer ask for better terms on a whole cart. You reply with offers, adjusting prices, quantities, shipping and discounts, until the customer accepts. The accepted offer becomes a WooCommerce order at the agreed prices.

Turn on quote requests

Quote requests are off by default.

  1. Go to ViteWholesale → Settings → General Settings.
  2. Turn on Enable Quote Request.
  3. Click Save Settings.

Turning it off later hides the Request Quote button and blocks new requests. Existing quotes keep working.

Tip: Turn on Enable Email Notification too, so you hear about new requests and customers hear about your offers. See Email templates.

How a customer requests a quote

Customers request quotes from the Wholesale Shop. Only approved wholesale customers can use it.

  1. The customer adds products in the Wholesale Shop and clicks Request Quote in the cart panel.
  2. In Request a Quote, they choose a shipping address and then a shipping method. The methods and their costs come from your WooCommerce shipping zones for that address.
  3. They can add an optional message, such as "Need better pricing for this order", and click Submit.

The request saves each item at the customer's current wholesale price, and their cart is emptied. The customer is taken to My Account → Quotes, where My Quotes lists every request with its status.

If no shipping method is available for the chosen address, the customer sees "No shipping methods are available for this address" and can't submit until they pick another address.

Review and send an offer

Go to ViteWholesale → Quote Manage. Filter the list by status, then click a quote to open it. You'll see the items, the totals, the shipping address and method, and the Conversation with the customer.

While a quote is open, you can:

  • Change items: edit the Qty and Offer Price of any line. The original value stays visible as "was …".
  • Adjust shipping: enter a Shipping Discount, the amount to take off the shipping price. The Original Shipping Price and Final Shipping Price are shown beside it.
  • Add a discount: enter a Discount off the whole quote.
  • Explain your offer: add an optional Note to customer. It goes into the conversation and the notification email.
  • Send it: click Make Offer. The Grand Total updates as you edit.

You can also send plain messages from the conversation box, or click Reject to close the quote.

Quote statuses

Status Meaning
Pending The customer has submitted the request.
Negotiating A message has been exchanged, or the customer rejected an offer.
Offer Sent You sent an offer, and the customer can accept it.
Accepted The customer accepted the offer, and the order is being created.
Order Created The WooCommerce order exists. Its order number is shown on the quote.
Rejected You rejected the quote, or the customer rejected it before any offer.
Expired The offer wasn't accepted in time.

Each offer expires 7 days after you send it. Sending a new offer starts a fresh 7 days.

What the customer does with an offer

In My Account → Quotes, the customer opens the quote and chooses:

  • Accept Offer: creates the order and takes them to the WooCommerce payment page.
  • Reject Offer: declines this offer but keeps the quote open, so you can send another.
  • Message: a reply that asks a question without deciding.

The order

An accepted quote becomes a normal WooCommerce order with the status Pending payment.

  • Prices: each line uses the agreed offer price. Pricing rules don't apply again.
  • Shipping: the chosen method is added at the final shipping price.
  • Discount: any quote discount is added as a Quote Discount line.
  • Addresses: the shipping address is the one chosen in the request, and the billing address comes from the customer's account.

Note: Quote orders are created with fixed line totals, and WooCommerce doesn't recalculate tax for them. Include any tax you need in your offer prices.
